DispensaryVA provides administrative support only. Licensed operators, authorized managers, and qualified professionals retain all regulatory, product, clinical, financial, and legal decisions.

Month-end inventory review is a controlled comparison between records, physical stock, and unresolved exceptions. It should have a cutoff and a named reviewer.

Set the cutoff

Record the date, time, location, systems included, and transactions that remain in flight. Freeze or account for movement according to the operator’s procedure. List the source reports used so the review can be repeated.

Use the month-end admin checklist for the overall close. The cycle count checklist provides a method for testing selected items.

Explain differences

Group differences into count error, timing, receiving, transfer, return, quarantine, adjustment, or unresolved. Use evidence from the source systems and preserve original values. Do not convert an unexplained difference into an assumed cause.

Close with ownership

The reviewer should approve only after open exceptions have owners, next actions, and dates. Carry unresolved items into the next period instead of hiding them in a new total.

The NIST measurement resources are an authoritative reference for measurement concepts; apply the licensed operator’s requirements.

FAQ

Does month end require a full count?

Follow the operator’s risk-based procedure and applicable rules; document the selected method.

What happens to open exceptions?

Carry them forward with evidence and a responsible owner.
