Dispensary month-end admin checklist

Month-end work should summarize the daily records, not replace them. A useful checklist tells management what was complete, what changed, and which exceptions need a decision.
Confirm that daily closeouts, deposits, invoices, purchase orders, and approved adjustments are filed for the month. List missing records with an owner and due date. Do not backfill a signature or approval without stating who completed the review.
Group open items by cash, inventory, vendor, customer, staffing, and equipment. State the source record, current status, next action, and escalation path. A short exception summary is more useful than a folder of unresolved messages.
Give the owner a one-page summary of completed work, unusual changes, recurring issues, and decisions needed. Keep operational facts separate from interpretation. Accounting or legal conclusions belong to the authorized specialist.
Carry forward only open actions with a current owner. Archive closed records under the agreed convention. Update the checklist when the same exception appears twice for the same reason. The routine should get clearer over time, not grow without limit.
DispensaryVA can maintain the month-end queue and prepare the review packet. See billing and accounting support or contact us.
