A good shift handoff is a short operational record. It tells the incoming team what changed, what remains open, and who owns the next action.
Include the date, shift, preparer, reviewer, staffing notes, system exceptions, restricted items, equipment issues, customer follow-ups, and tasks due before the next handoff. Use timestamps for events that may be disputed later.
Pair the handoff with the daily closeout checklist. Closeout confirms what happened; the handoff explains what the next team must do.
Describe the record or event without guessing at its cause. “Package count differs from the system by two units; recount assigned to manager” is more useful than “inventory looks wrong.” Attach or reference the approved evidence without placing sensitive data in an open channel.
The opening handoff guide can serve as the receiving-side companion. Require the incoming lead to acknowledge the items they accepted.
At the next handoff, mark each item complete, carried forward with a reason, or escalated. Review recurring carryovers monthly; they often indicate an unclear owner or a missing procedure.
The OSHA recommended practices provide authoritative context for documented workplace safety processes. Follow the site’s safety plan for specific incidents.
Long enough to transfer decisions and exceptions. A fixed template keeps it readable.
Use verbal context for nuance, but retain the material actions and owners in the written record.
