The last 30 minutes of a dispensary day determine how much cleanup the opening team inherits. A closeout checklist turns that handoff into a short, reviewable routine.
Record the business date, closing employee, register or lane, and the person who reviewed the closeout. Compare the POS closeout with the cash count and payment reports. If the numbers do not match, record the difference and route it to the authorized owner. Do not quietly change a total to make the report balance.
The closeout packet should answer one simple question: what was expected, what was counted, and who reviewed the difference?
Do not try to recount the entire store every night. Review the exceptions that need a response:
Capture the identifier, observed quantity, expected quantity, source system, and next action. A short exception log is more useful than a vague note that says "inventory checked."
File the signed or approved reports where the next reviewer expects to find them. Name exports with the business date and location. Keep the source report with any correction request so the reviewer can see what changed and why.
If an outside request, inspection issue, or customer matter is still open, add its owner and next review time to the handoff. A closeout is not complete when an unresolved issue disappears into a shared inbox.
The opening team needs a short list, not a transcript. Include the exceptions that can affect sales, product availability, compliance work, or staffing. Mark each item as ready for review, waiting on an approval, or blocked by missing information.
The person closing the store should sign off only on work they actually checked. The person opening should be able to see what remains without reconstructing the previous shift from chat messages.
Once a week, look at the exception log. Repeated cash differences, the same package mismatch, and recurring missing approvals point to a workflow problem. Fix the instruction or ownership at the source. Do not make the closeout form longer for every issue that appears once.
