Cannabis dispensary records retention checklist

Compliance Operations

Retention work is a decision process, not a delete-everything reminder. A useful checklist identifies the authority, owner, retention period, access rules, and evidence of disposition.
List operational, financial, inventory, training, incident, customer, and regulatory records separately. The dispensary month-end admin checklist can help identify recurring records that otherwise sit in personal folders. Keep revisions distinguishable with SOP version control.
For each class, capture the applicable policy, regulator instruction, contract, hold, or professional advice. If rules conflict or are unclear, mark the item for authorized review rather than choosing the shortest period.
Document who can view, edit, export, and approve disposition. Keep sensitive records out of general team spaces and log exceptions to the normal access rule.
Pause routine deletion when a legal hold, investigation, complaint, audit, or unresolved incident may apply. The IRS recordkeeping guidance is a useful financial-record reference; it does not replace the full policy set.
Record what was retained, transferred, or disposed, by whom, when, under which rule, and with what approval. Review the inventory when systems or policies change.
