Dispensary purchase order workflow

Purchase orders give a dispensary a shared reference before money and inventory move. The workflow matters more than the form because each handoff needs a clear owner.
Include the item or service, quantity, location, requested date, reason, and budget owner. If a request affects regulated inventory, route it through the approved purchasing and compliance process. Do not rely on a message that lacks enough detail for receiving to check later.
Set an approval threshold and name a backup approver. The approver checks the request against budget, vendor status, and operational need. Keep the approved version with the order so receiving can compare what arrived with what was authorized.
Receiving records the delivery date, condition, quantity, identifiers when applicable, and any short shipment. A person who did not place the order should review the match where practical. Route discrepancies to the purchaser and vendor owner instead of changing the original request.
Match the invoice to the purchase order and receiving record. Record any approved variance and its reason. File the final packet under a consistent naming convention, then add an open item to the next review if payment or vendor correction remains pending.
DispensaryVA can keep the request queue and document packet organized while operators retain approval authority. Read about billing and accounting support or contact us.
