Review responses are public customer service. The best response is brief, calm, and specific enough to show that someone read the comment without revealing private purchase details.
Thank the reviewer for naming the part of the visit that worked. If they mention a team member, follow the company's approved recognition process rather than adding personal details. Do not copy the same sentence under every five-star review. A small change in wording keeps the response human.
Acknowledge the wait and invite the customer to continue through a private channel. Do not argue about the exact duration in public. Internally, log the date, issue type, shift, and owner for follow-up. If the same complaint appears repeatedly, review staffing and handoff records.
Avoid confirming what a customer purchased. Say that the team wants to understand the issue and provide a direct support route. Route product, safety, or compliance concerns to the authorized manager immediately. A review response should not replace the company's incident process.
Do not repeat the information. Keep the public reply neutral and ask the reviewer to contact the store through the approved channel. Capture a screenshot only in the access-controlled support record, then follow the retention policy.
Track response date, issue category, owner, and disposition. A monthly review can separate service recovery from changes that belong in training, scheduling, or store operations. Give the responder a clear escalation list so they know when to stop replying and hand off the matter.
