Dispensary cash variance review routine

A variance review should explain what the records show and what action remains. It should never change a source total merely to make a report balance.
Collect the business date, register or lane, POS closeout, cash count, payment reports, approved adjustments, and reviewer. The dispensary daily closeout checklist shows how this packet fits the closing handoff. Compare it with the cash reconciliation checklist when a difference remains.
Record expected amount, counted amount, variance, time discovered, and any directly observed condition. Separate facts from hypotheses and keep the original reports unchanged.
Name the authorized reviewer, next action, due date, and escalation level. Do not investigate sensitive personnel matters in a broad channel or promise a conclusion before the review is complete.
Store the packet and decision note under the approved access policy. The IRS recordkeeping guidance is a useful general reference for retaining business records.
Review repeated variances by shift, lane, or handoff. Use the pattern to inspect counting, access, training, or closeout instructions and document the resulting control change.
