DispensaryVA provides administrative support only. Licensed operators, authorized managers, and qualified professionals retain all regulatory, product, clinical, financial, and legal decisions.

Cash reconciliation should make the expected balance, counted balance, variance, and approval trail easy to follow. It is a control performed at a defined time, not an informal count.

Reconcile from source records

Record the register or vault identifier, shift, preparer, reviewer, opening float, recorded sales and adjustments, deposits or transfers, counted cash, and closing balance. Keep payment types separate where the system does. Do not backfill a missing transaction with a guess.

Use the daily closeout checklist to sequence the count. The cash-handling procedure can hold the detailed separation-of-duties steps.

Investigate variances

Recount first, then compare receipts, refunds, voids, paid-outs, and deposit records. Record what was checked, who reviewed it, and the next action. A variance should never disappear because the closing number was edited.

Protect the record

Restrict access to cash records and store them through the approved system. Avoid placing account numbers, employee personal data, or unnecessary customer information in a shared checklist.

The IRS cash transaction guidance is a primary reference for federal reporting concepts. Licensed operators should confirm their own obligations with qualified advisers.

FAQ

Who should count the cash?

Follow the operator’s separation-of-duties policy and use an independent reviewer where required.

What is an acceptable variance?

Use the business’s written threshold and escalation rule; do not invent a universal tolerance.
