Operations Documentation

An SOP audit asks whether the written process is current, usable, owned, and supported by evidence. It is not a hunt for longer documents.
List the SOP name, owner, effective date, review date, systems used, related forms, and required approvals. The dispensary SOP version control guide shows how to keep revisions distinguishable. Link supporting records to the training record tracker when the process requires staff acknowledgment.
Observe or reconstruct a normal case from the source records. Mark steps that are missing, ambiguous, duplicated, or impossible with the current tools. Distinguish a documentation defect from a training or staffing issue.
Ask what happens when information is missing, a system is unavailable, a product is quarantined, or an approval is late. The exception path should name an owner and escalation route.
Record proposed wording, reason, reviewer, effective date, and affected roles. The NIST cybersecurity framework can help structure governance and improvement for technology-related procedures.
Remove or clearly mark superseded versions in shared locations. Communicate the change and sample the process after the effective date to confirm the new instruction is being used.
