Dispensary vendor onboarding checklist

Vendor onboarding is a control point, not an email exchange. A repeatable checklist helps the team verify the supplier, define the relationship, and make the first purchase traceable.
Assign an owner to collect the legal business name, license information where applicable, tax documentation, payment details through the approved secure process, primary contact, fulfillment contact, and return instructions. Store only what the business is permitted to retain.
Connect the checklist to the dispensary purchase order workflow. The vendor should not become selectable for a purchase until the required review is complete.
Write down ordering windows, delivery appointment rules, receiving evidence, damaged-goods handling, invoice requirements, and who approves substitutions. Avoid assumptions about availability or lead time; confirm them with the supplier and keep the current version in the vendor record.
Use the dispensary opening handoff to pass any new vendor tasks to the operating team. A handoff should name the next order, open question, and review date.
Compare the purchase order, received goods, invoice, and system entry. Record discrepancies and decide whether the vendor remains approved, needs a corrective action, or requires a pause pending review.
The IRS recordkeeping guidance provides a primary reference for retaining business records. Confirm the retention rules that apply to the operator.
Use a role defined in the purchasing policy and require a second review for higher-risk suppliers.
That creates avoidable gaps. Complete the minimum approval record before ordering.
