DispensaryVA provides administrative support only. Licensed operators, authorized managers, and qualified professionals retain all regulatory, product, clinical, financial, and legal decisions.

A coverage matrix answers whether the required role is covered, who is the backup, and what happens when the schedule changes.

Map roles to shifts

List the date, shift, required role, assigned person or approved identifier, backup, and status. The dispensary opening and closing coverage plan provides a companion for day-boundary responsibilities. Connect open items to the shift schedule handoff.

Mark real gaps

Use statuses such as covered, pending confirmation, open, and escalated. Do not hide a gap by placing an unconfirmed name in the slot. Record the manager and next decision date.

Protect private details

Keep the matrix limited to the operational information needed for coverage. Store leave, medical, or performance details in the approved personnel system, not the schedule.

Test handoffs

Confirm who receives opening notes, urgent messages, and system exceptions when a person is absent. The OSHA safety management guidance offers general structure for assigning safety responsibilities.

Review recurring gaps

At month end, group open coverage items by role, time, or process. Improve planning and backup instructions without making unsupported claims about staff performance.
