A dispensary inventory reorder point workflow

Inventory Operations

A reorder point is a control for deciding when a replenishment conversation should begin. It is not permission to buy automatically. A useful workflow combines recent demand, expected lead time, safety stock, open purchase orders, and a named approver.
Keep one record per product or product group with the SKU, current available quantity, committed quantity, reorder point, target level, lead-time assumption, supplier, and review date. The inventory aging review helps establish a trustworthy quantity before a reorder decision. Link exceptions to the purchase order workflow rather than burying them in chat.
Separate a low balance caused by sales from one caused by a count error, quarantine, transfer, or pending receipt. Record the source report and the person who reviewed it. If lead time is uncertain, preserve the assumption and route the decision to the inventory owner.
The U.S. Small Business Administration inventory guidance provides general operational context, but it does not set cannabis-specific requirements.
Review them when demand, supplier lead time, assortment, or storage constraints change. Keep the old value and reason in the change record.
