How to review a dispensary incident log

Compliance Operations

An incident log is useful only when it preserves what was observed and makes follow-up visible. Review it as an operating control, not as a collection of vague stories.
Confirm the date, time, location, people involved by permitted identifier, immediate action, and source records. Separate direct observations from assumptions. The dispensary compliance calendar can help place recurring reviews on a named schedule. Use SOP version control when the review changes an instruction.
Mark each entry as awaiting information, awaiting approval, corrective action, or closed with rationale. Assign one owner and a review date. If a safety, privacy, or regulatory question needs specialized advice, escalate it rather than improvising an answer.
Group incidents by workflow, location, shift, or missing control. A repeat does not prove a cause, but it identifies where the manager should inspect instructions, training, access, or staffing coverage.
Limit access to the people who need the record. Do not copy sensitive personal information into general chat or a public-facing document. The NIST incident response guide offers a useful structure for preparation, handling, and lessons learned.
Record the control changed, the date it took effect, and who confirmed it. Recheck the open queue after the change; closing an action without checking the underlying condition creates false confidence.
