DispensaryVA provides administrative support only. Licensed operators, authorized managers, and qualified professionals retain all regulatory, product, clinical, financial, and legal decisions.

An evidence room reduces frantic searching when each record has a known location, owner, date, source, and status. It should make gaps visible instead of hiding them.

Create the index first

List evidence class, record name, period, source system, owner, approval status, access level, and last checked date. Link to the dispensary license renewal document tracker when regulatory submissions are in scope. Include the records retention checklist for disposition rules.

Keep originals distinguishable

Preserve source exports and submitted copies separately from working notes. Use stable names and version markers. Never overwrite the only copy to correct a typo in an index.

Track exceptions honestly

For a missing, late, or conflicting record, record the gap, owner, next action, and expected date. An evidence gap is a useful finding when it is visible and assigned.

Limit access

Use role-based access and avoid copying sensitive information into the index. The NIST security and privacy controls catalog provides a general control reference; apply the site's approved policy.

Run a readiness review

Sample records against the index, check that approvals are present, and confirm open exceptions have owners. Archive the review note with the evidence set.
