Vendor Operations
Published October 12, 2026. Collect and review vendor business records through a controlled intake packet without treating document receipt as approval.
Build the checklist from local policy, contracts, insurer requirements, and applicable regulator guidance. Typical administrative fields include legal business name, contact, service scope, locations, license or permit references where required, insurance evidence, expiry dates, tax forms, and approval owner.
A document can be present but unreadable, expired, mismatched, incomplete, or awaiting specialist review. Track received, under review, accepted, rejected, and superseded as distinct states. A virtual assistant may request missing material but should not make legal or compliance determinations.
Use the approved upload channel and restrict tax, banking, identity, and insurance records to authorized roles. Never ask vendors to send passwords or unnecessary personal records. The tracker should reference the controlled file and show only the metadata needed for follow-up.
Treat bank-detail changes, ownership changes, license-status changes, and substitute personnel as exceptions requiring the organization’s verification process. Do not let an urgent invoice or delivery bypass an independent callback or established approval path.
Record document effective date, expiry date, reminder intervals, review owner, and replacement status. Sample the packet after onboarding to confirm that the approved vendor, current record, and operational system still agree.
This material supports lawful administrative operations only. It does not replace jurisdiction-specific legal, regulatory, safety, security, privacy, tax, labor, or professional review. Remote support should work only within written permissions and should never direct regulated product handling or transactions.
