Workforce Administration
Published October 12, 2026. Correct names, dates, course references, acknowledgements, and status errors without overwriting the original training record.
Record the learner, affected record, claimed error, requester, source evidence, date, and urgency. Use the organization’s approved identity and privacy process. The coordinator should not change attendance, competence, or certification status based only on an informal message.
Keep the original record and create a linked correction entry. Identify whether the issue is a data-entry error, duplicate, name mismatch, missing evidence, course-version issue, or disputed outcome. An audit trail should show what changed and why.
Administrative corrections may have a records owner; curriculum completion, qualification, license, safety, or disciplinary matters may require different reviewers. The workflow must name who can approve each change type and who serves as backup.
After approval, reconcile the learning system, staffing roster, renewal calendar, access prerequisites, and reports that used the incorrect value. Record systems not updated and assign owners instead of assuming one edit propagated everywhere.
Confirm the visible corrected record through the approved channel and explain any part that remains under review. Sample recent corrections for recurring root causes, especially form design, identity matching, course versioning, and integration failures.
