Customer Operations

A dependable return exceptions practice begins before anyone tries to mark a task complete. In a cannabis dispensary, a returned item is placed aside without preserving the customer-safe reason, package identity, or decision authority. The useful response is not a longer checklist by itself. It is a record that keeps the observed condition, the source that supports it, the person who may decide, and the next safe action in view. This guide treats return exceptions as an operational handoff with a beginning, a boundary, and an accountable end.
Start by naming what the record covers and what it does not. Capture return reference, package state, reason, receipt source, hold location, reviewer, and disposition. The returns lead can gather the source, note whether required fields are present, and describe a mismatch without filling an unknown value from memory. A record should not quietly become a policy interpretation, a personnel judgment, or a promise about a future outcome. Keep the return record, working notes, and final status distinguishable.
A clear boundary also prevents duplicate work. If another system is the authoritative source for an identifier or time, reference that source rather than copying a value that may go stale. If a conversation opened the issue, preserve the observable fact and identify the conversation, but do not make an informal message the only durable evidence.
A return exception needs a clear temporary state. Keep the package and transaction references together, state what is known without speculating about the customer, and assign the disposition question to the proper role.
Write down what opened the review: an arrival, request, count, notice, service event, observation, or scheduled checkpoint. Add the business date, time, location or process stage, role of the observer, and source reference. The purpose is not to produce a narrative for its own sake. It is to let a second person understand why the item exists and what was true before anyone corrected, moved, published, or closed it.
For return exceptions, the trigger should be stated in neutral language. “Package quantity did not match the receiving document” is more useful than “receiving problem.” “A customer requested help with an access need” is more useful than a broad label that exposes unnecessary personal detail. Specific observations keep the next action proportionate.
A correction should be reversible in the record even when the operational action is not. Preserve the prior value, the proposed value, the reason for the change, and the person who approved it. If the change affects a menu, package, customer-facing statement, financial entry, or facility condition, note when the corrected state became active. This gives later reviewers a chronology instead of a polished result with no explanation.
Review frequency should follow the risk and the rate of change in the source. A stable reference may need a periodic check, while a rapidly changing inventory or service condition may need an event-based check. Avoid inventing a universal interval. Define the trigger that opens the review, the evidence that closes it, and the owner who can change that rule when the operating context changes.
The timing of this workflow deserves explicit treatment. Record when the trigger was observed, when the returns lead accepted the item, when a safeguard began, and when the disposition became effective. These moments may be close together, but they answer different questions. A single timestamp can make an action look earlier than the evidence that justified it, especially when a handoff crosses shifts or a document arrives after the physical event.
| Field | What to capture for this route | Why it matters |
|---|---|---|
| Trigger | The event, request, arrival, or observation that opened the item | It preserves the starting condition |
| Source | return reference and package state plus a retrievable reference | It separates evidence from memory |
| Protection | The temporary safeguard and current location or state | It limits harm while the question remains open |
| Ownership | returns lead, assignment time, and decision boundary | It prevents an unresolved item from becoming anonymous |
| Disposition | The authorized decision, effective time, and remaining question | It makes closure proportionate to the evidence |
Escalation should name a question, not simply announce discomfort. The returns lead can state what is known, what conflicts, what has been protected, and what decision is needed. The receiving role can then answer the bounded question or return the record with a precise request for missing evidence. “Please advise” is not a useful escalation unless the record says what advice would change the permitted next step.
Before closing the review, ask the next shift to locate the return record without coaching. If they can find the source, explain the current state, and identify the permitted next action, the record is serving continuity. If they cannot, the gap is specific enough to fix: improve the source link, clarify the status, add the missing owner, or preserve the unresolved question.
This approach also keeps the company’s role properly bounded. A workflow record can organize evidence and handoffs for a cannabis dispensary; it cannot replace a regulator, legal adviser, clinician, accountant, or decision-maker with authority over a particular case. State that boundary when the record is opened and again when an unusual disposition is requested.
The purpose of this return exceptions process is not to make every situation look routine. It is to preserve the source, protect the affected operation while uncertainty remains, and give the right role a clear decision to make. In a cannabis dispensary, a returned item is placed aside without preserving the customer-safe reason, package identity, or decision authority. A durable record makes that condition visible without inventing a cause or promising an outcome. The returns lead should be able to locate the return record, explain the current status, and name the next review point. That is enough to support consistent administration while leaving legal, regulatory, safety, financial, or customer-specific judgments with the role authorized to make them.
Record the trigger, source, affected item or process, and current condition before taking a corrective action.
Keep it open when the source, owner, safeguard, or authorized disposition is missing. A reminder or verbal assurance is not evidence of closure.
The next person can find the source, understand what is protected, take the next permitted action, and see who owns the unresolved decision.
