Dispensary product return process

Returns create a handoff between customer service, inventory, and compliance. A written process helps staff pause the item, document the reason, and route the decision to the right person.
Record the date, order reference, product identifier, quantity, reason, and employee receiving the item. Do not promise a resolution before the authorized reviewer confirms what the policy permits. Keep customer information limited to the fields the process needs.
Move the item into the approved quarantine or hold location. Record who moved it and when. The physical label and system status should agree. If they do not, stop the next step and escalate the mismatch rather than guessing at an adjustment.
The authorized owner reviews the reason, condition, source records, and applicable local process. The decision should state whether the item is returned, destroyed, credited, or held for review. A virtual assistant can prepare the record, but should not approve a regulated disposition without permission.
Give the customer a concise update through the approved channel. Record the date and outcome. Do not include private details in a public message or open team chat. Review recurring reasons each month to see whether product information, packaging, or staff training needs attention.
DispensaryVA supports documentation and exception queues for dispensary teams. See inventory support or contact us.
