Document Control
Published October 12, 2026. Remove superseded policy copies from active use while preserving approval history and required records.
Record policy name, identifier, approved version, effective date, owner, scope, and source location. A coordinator should not decide which policy governs; the designated owner supplies or confirms the active version.
Find intranet pages, shared drives, print binders, onboarding packets, training links, forms, vendor portals, and saved templates that may expose an older instruction. Include locations that are temporarily offline or controlled by another team.
Remove superseded copies from active access, apply clear archive labels, and preserve approvals, effective periods, and retention evidence according to policy. Never delete a record merely to make an audit look clean.
A policy change may affect forms, checklists, scripts, training, signage, system fields, and escalation contacts. Record every dependent item, update owner, status, and completion evidence.
Sample active locations and ask users to locate the governing instruction. Track stale links and local copies. Close the retirement only when scoped distribution points are corrected or assigned to an accepted exception owner.
