Inventory Administration
Published October 12, 2026. Prepare an evidence packet for inventory discrepancies while keeping adjustments and regulated decisions with authorized on-site owners.
Record item identifier, location, system quantity, observed quantity, unit, observation time, recorder, and source reports. Keep the original values intact. A remote assistant may reconcile documents but must not create, move, relabel, or dispose of regulated inventory.
Link receiving, transfer, sales, return, count, hold, waste, and prior adjustment records that are relevant under local procedure. Label each source and period. Missing evidence remains an explicit gap rather than a guessed explanation.
Possible causes such as timing, duplicate entry, unit mismatch, damage, return, or unauthorized activity are hypotheses until an authorized reviewer confirms them. The packet should show what is known, what conflicts, and which decision is needed.
Use the required segregation of duties and regulator or system procedures. Identify preparer, reviewer, approver, adjustment authority, and latest allowed action time. Urgency must not erase independent review.
After authorized action, record transaction reference, approver, resulting quantity, exception follow-up, and downstream reconciliation. Sample packets for repeated discrepancies and unclear units to improve training and system configuration.
