Dispensary equipment maintenance log

Equipment issues become expensive when no one knows the last service date or the status of a repair. A maintenance log gives the store a shared memory for routine checks and urgent exceptions.
Capture the asset name, location, serial or internal identifier, vendor, owner, and approved service contact. Include the date the log was created and the next review date. Keep credentials and payment information out of the log.
Planned work includes cleaning, inspection, calibration, or battery replacement that the manufacturer or internal SOP requires. Unplanned work needs the reported symptom, time, operating impact, temporary control, and person who approved the next step.
After service, attach the invoice or work order and state what changed. Note whether the asset returned to service, remains restricted, or needs another visit. If a repair affects a compliance record or customer-facing process, notify the authorized owner before reopening the workflow.
Look for repeated failures, slow vendor response, and equipment that is always used under a temporary workaround. The pattern may support a replacement decision, a training update, or a change in opening and closing checks.
DispensaryVA can maintain the log, chase service documentation, and prepare a weekly exception summary. See back-office support or contact us.
