Dispensary customer inbox triage workflow

Customer Service

An inbox becomes hard to manage when every message looks equally urgent. Triage gives the team a shared first decision and keeps sensitive conversations away from broad channels.
Use labels for store information, order or service help, feedback, vendor messages, and urgent or regulated concerns. The label is a routing decision, not a final answer. When a message includes private information, keep the working record in the approved system.
The first response should confirm receipt and state the next owner or step. It should not promise an outcome the team has not approved. Keep saved replies short and edit them to fit the question. A template that ignores the customer's issue makes the next reply harder.
Product safety, threats, privacy concerns, legal requests, and compliance questions need the authorized owner. Mark the escalation time and preserve the original message. Do not investigate sensitive issues by forwarding them to an uncontrolled personal account.
When the answer is sent, record the outcome and any internal change. Review labels each week. A growing group of questions about the same hours, order step, or policy belongs in the website or staff training, not only in the inbox.
DispensaryVA can manage triage, records, and follow-up while operators retain escalation authority. See customer service support or contact us.
