Privacy Operations
Published October 12, 2026. Reduce unnecessary customer-data collection in administrative workflows while preserving lawful records and accountable service.
For each form, inbox, loyalty process, delivery-support queue, or service request, identify the business purpose, required fields, system of record, access roles, retention owner, and deletion or archival rule. Do not collect a field simply because a template provides it.
Staff may need enough information to route a request without placing full identity details in a general queue. Use a restricted record for information that policy requires and a minimal operational record for status, owner, deadline, and next action.
Look for spreadsheets, email attachments, chat messages, screenshots, test files, and downloaded reports that duplicate customer data outside the approved system. Remove copies through the organization’s process and record unresolved dependencies.
Privacy access, correction, deletion, and consent questions should follow the applicable local procedure and qualified review. An assistant can acknowledge, log, verify routing steps, and prepare an evidence packet; it should not promise an outcome or deadline not authorized by policy.
Track removed fields, retired exports, access reductions, overdue reviews, and exceptions by workflow. A smaller data footprint should remain usable and auditable; minimization is not an excuse to destroy required records or hide unresolved obligations.

Remote support should work only within written permissions and should never direct regulated product handling or transactions.
